  • Overview

    The Group Sales Service Specialist representative will provide operational support on the day to day transactions of the Attractions Sales Team and service to all group clients.

    Responsibilities

    • Coordinate with Sales team to facilitate group reservations for all attractions while handling incoming calls, faxes and emails for reservations and requests of information.
    • Responsible for maintaining excellent relationships with all clients, requiring a detailed understanding of all group sales contracts, and ensuring agreed upon rates, payment schedules, ticket pick-up, etc  are adhered to.
    • Must have a in-depth understanding of the ticketing system, including accurate order entry, updating, report generation and trouble-shooting utilizing order history information, etc.
    • Must have an in-depth understanding of NetSuite Sales system, including accurate order entry, updating, report generation and trouble shooting utilizing order history information, etc.
    • Responsible for tracking order tasks (deposit payments, balance due, ticket counts, restaurant reservations, tour confirmations etc) through NetSuite.
    • Responsible for courtesy calls prior to visit to engage with customer, confirm details of reservations, number of buses, etc. and for post-visit to thank the client for attending, solicit feedback, etc.
    • Responsible for contacting clients to confirm final ticket count and collect balance due.
    • Maintain performing group calendar, including communication with all venues regarding upcoming groups, coordinating signs for the group, and assisting with on-site greeting.
    • Maintain restaurant reservation calendar.
    • Maintain tour confirmation calendars for Ryman and Opry House
    • Involvement in client FAMS, Site Inspections, special events and Show MOD for Sales Team to help foster account relationships with team; and assist with Tour Group demands, cancels and rebooks, ticket delivery, etc.
    • Act as a liaison between Sales and Operations to facilitate excellent customer service for group clients.
    • Responsible for emailing group confirmations and verification letters.
    • Perform other duties as assigned.

    Qualifications

    Education:            

    • High school diploma or equivalent required, some higher education preferred.

    Experience:         

    • One year of Customer Service experience required.
    • Ability to deal with both internal and external customers. 
    • Strong written and verbal communication skills required. 
    • Strong organization skills, ability to prioritize and manage multiple tasks (moving quickly from one to the other) are also required.
    • Must be a self-starter and possess high energy.
    • Strong Microsoft office application and PC skills required. Knowledge of ticketing and ticketing systems preferred.

    Licenses/Certifications:

    • This position requires a pre-employment drug screening.
