Overview

The Sales Coordinator will be responsible for activities in support Attraction Sales initiatives.  This position reports to the DOS but aids the Convention & Meeting Sales teams.  Responsibilities are diverse ranging from administrative functions to client interaction and sales tracking and analysis.  

Responsibilities

  • Serve as primary contact for clients requesting initial leisure group based sales collateral.  Expeditious and accurate responses to inquiries and leads with a focus on client service will result in incremental sales for Opry/Ryman/General Jackson/Ole Red.
  • Serve as back-up contact for Corporate, Convention & Meeting Sales Managers/DOS when they are out of the office, providing valuable continuity for clients.  This position will also be responsible for attending some industry trade events on behalf of the Tourism Sales team, including out of market events.
  • Accept and distribute leads to Corporate, Convention & Meeting .  Coordinate process to ensure equitable and timely distribution of leads, track timing of follow-up and maintain all materials for fulfillment. 
  • Maintain NetSuite database, including data entry of new or potential clients into the contact management system. Work in the AV ticketing system to generate reports and review orders.  This position will also need to be functional in AV ticketing system to attach insure information is correct and matches information in NetSuite.
  • Track sales contracts and work with service team to ensure deposit/payment/reduction/cancellation policies are followed.
  • Track expenses, process invoices, prepare expense reports and maintain attraction sales budget forms.
  • Coordinate FAM and site visit participation for sales team, including preparing sales kits, information and promotional items for the event.
  • Coordinate and update sales presentation information for websites, ipads, profile sheets and sales kits.
  • Coordinate, assist with on-site promotions, shows, and events
  • Provide administrative support as needed and perform other duties as assigned.

Qualifications

Education:            

  • Bachelor’s Degree in marketing or related field

Experience:         

  • One or more years related experience.
  • Experience with CRM, Microsoft Access and ticketing a plus.
  • Ability to deal with both internal and external customers.  Strong leadership qualities, organization skills, ability to prioritize and manage multiple tasks are also required. Strong Microsoft Office skills required.
