Overview

Aids executives in a staff capacity by handling a wide variety of situations involving the administrative functions of the office.  Also works as an internal partner between REIT departments; facilitating business concept development and business planning process; will ensure projects are delivered on time, on target and on budget.

Responsibilities

  • Schedules appointments, meetings and travel arrangements for the Executives. 
  • Anticipates and prepares materials needed for appointments, meetings, conferences, etc. 
  • Reviews nature of appointments to determine urgency and schedules, as appropriate. 
  • Also develops project milestones, project plans and communication plans and detailed timelines.
  • Handles a variety of situations involving the clerical and administrative function of the office. 
  • Uses considerable judgement and initiative to determine the approach or action to take in non-routine situations.
  • Handles Executives’ correspondence from verbal direction or from knowledge of company policy and procedures.
  • Receives incoming calls for the Executives and provides information to the callers or routes callas as appropriate.
  • Creates, prepares, assembles and distributes information as requested by the Executives.  Coordinates collection and preparation of reports.
  • Establishes and maintains a positive working relationship with all departments and levels of management within the company.
  • Serves as backup administrative support for the CEO’s office.
  • Handles duties of the office when the Executives are out of the office and ensures requests for action or information are relayed to the appropriate staff members.
  • Assists with special events and activities, as necessary.
  • Performs other duties as assigned.

Qualifications

Education:           

  • Bachelor’s degree in Business Administration or a related discipline or equivalent experience required.

Experience:        

  • Minimum of 5 years of administrative experience, preferably at the executive level.
  • Project coordination experience. 
  • Excellent customer service and interpersonal skills required.
  • Exceptional organizational, oral, written and presentation skills required. 
  • Proficient in the Microsoft Suite, including Word, Excel, Access and PowerPoint. 
  • Meticulous attention to detail required.
  • Ability to meet designated deadlines and ability to maintain highly sensitive and confidential information is required.
